Terms and Conditions for Being Camp temporary camping

Accommodation Types, Modalities, Price & Conditions
  1. There are 3 types of temporary accommodation available at Being Camp:

    1. Accommodation at Tipi Camp

      1. There are 3 modalities:
        - star tent up to 2 people;
        - star tent up to 4 people;
        - shared place at a star tent of up to 4 people;

      2. The total price (with VAT) for each type of accommodation is: 
        - Star Tent 2 people - full cycle: 600€ / weekend cycle: 330€
        - Star Tent 4 people – full cycle: 1200€ / weekend cycle: 660€
        - Shared place - full cycle: 270€ / weekend cycle: 150€

      3. The allocation of accommodation is made randomly and in conformity with the stipulations made by the Being Camp organisation therefore it is not possible to choose a specific accommodation.

      4. The Star Tent accommodation includes a mattress and bed linen for every guest, up to the tent’s capacity and for the duration of one entire cycle (6 nights). However, a change of bed linen can be requested at the Tipi Camp reception upon a 10€ fee.
        Cancellations or refunds are not allowed.

      5. A 50€ deposit will be withheld in the card used for payment of the reservation until checkout. No charge takes place upon verification of the good condition of the accommodation and its respective contents.

      6. The guests will be liable for any damage caused in the accommodation or part thereof (for eg. sheets or other content that can be found inside), having to bear the cost of replacement according to the pricing displayed at the reception of the accommodation. Liability costs will be deducted automatically at the 50€ deposit withheld in the card used for payment of the reservation; if costs are higher than the deposit withheld, an extra payment will be charged.

    2. Accommodation at own Campervan

      1. There are 3 modalities:
        - campervan up to 2 people; 
        - campervan with 3 people;
        - campervan with 4 people;

      2. The total price (with VAT) for each type of accommodation is: 
        - campervan up to 2 people - full cycle: 450€ / weekend cycle: 250€
        - campervan with 3 people - full cycle: 615€ / weekend cycle: 340€
        - campervan with 4 people - full cycle: 780€ / weekend cycle: 430€

      3. The maximum allowed length for campervans is 6,5 meters.

      4. There will be a specific and exclusive place to deposit the Campervan’s black waters. Guests that deposit their black waters at other places will be asked to leave the camp immediately with no possibility of return.

    3. Accommodation at own Tent

      1. There are 4 modalities:
        - tent with 1 person;
        - tent up to 2 people; 
        - tent with 3 people;
        - tent with 4 people;

      2. The total price (with VAT) for each type of accommodation is: 
        - tent with 1 person: full cycle: 290€ / weekend cycle: 160€
        - tent up to 2 people - full cycle: 360€ / weekend cycle: 200€
        - tent with 3 people - full cycle: 480€ / weekend cycle: 265€
        - tent with 4 people - full cycle: 600€ / weekend cycle: 330€

      3. Maximum pitch size allowed for tents is 12 square meters.

Accommodation Occupancy, Payment, Check in & Check-out
  1. It is not permitted to exceed the maximum occupancy in any of the accommodation types.

  2. Children up to 5 years old (including) are not taken into account at the occupancy in all types of accommodation; in Tipi Camp accommodation type it is assumed that they will share the bed with the parents or siblings. Children between 6 and 12 years old are taken into account in the occupancy of accommodations.

  3. Children up to 16 years old will only be allowed to stay in the accommodation if accompanied by a legal representative or tutor;

  4. The payment is made in full at the moment of the online reservation; 

  5. There will be no cancellations, exchanges or returns allowed, except in case of a request to change the check-in/checkout dates, which may be accepted, subject to availability verified by the Being Camp organisation.

  6. All guests, of any type of accommodation, must check in and check-out at the Tipi Camp reception, to properly validate their entry and exit from the Being Camp temporary accommodation.

  7. In case of after-hours checkout, as stipulated below, the daily fee will be charged.

Check-in/ Checkout Schedules:
  • Check-in schedule is from 15h to 20h on July 22;
  • Checkout schedule is from 08h to 11h on July 28.
Reception/Gates working hours:
  • Reception working hours on remaining days (from 23 to 27 July) are from 09h to 13h;
  • There is a gatekeeper service between 08h to 23h;
  • Between 23h and 08h entrance is forbidden to anyone that has not previously checked-in.
Parking
  1. There is parking on-site, in an area specifically designated and indicated for that purpose; 

  2. Being Camp organisation is not responsible for any damage, theft or robbery that may occur in the parking area;

  3. For safety reasons it is not allowed to sleep inside cars/vans at the parking lot.

Program
  1. There is a program to which all guests can have free access. You can check the available program in https://www.being-gathering.org/being-camp-2024 or at the Camp info boards.

  2. There will also be extra activities for which guests must make a reservation and pay an extra fee. For more information, you can check the available activities in https://www.being-gathering.org/being-camp-2024 or at the Camp info boards.

Food
  1. Being Camp temporary camping provides the option of booking accommodation with full board or half board, vegetarian or omnivorous; 

  2. Snacks and Meals are available at the Camp Restaurant and at the Beach Bar;

  3. Meals, in regular format or purchased individually, will be loaded onto the guest's bracelet (placed at check-in), with no validity, and can be used throughout the stay;

    1. For children (0-12 years old), meals are loaded onto a meal card. This card will have an associated deposit of €5 in case of loss, damage or non-delivery at check-out. The card deposit is withheld in the card used for payment of the reservation, and will only be charged in one of the events mentioned above.

  4. There will be no cancellations, exchanges or returns of the selected food option.

Responsibility and Terms of Use
The Being Camp temporary accommodation is provided by IdanhaCulta - Associação de Desenvolvimento Social, Cultural, Recreativo e Ambiental, taxpayer number 513781323, with head office in Herdade da Granja, Estrada de Alcafozes, S/N, 6060-011 Idanha-a-Nova, hereby mentioned as “organisation”.
  • Being Camp organisation will not be held accountable for any thefts or robberies that take place inside Herdade da Granja (Being Camp permits), namely in the accommodation or parking areas; 
  • Being Camp organisation will not be held accountable for any accidents that may occur inside the temporary camping permits, in authorized or restricted areas, or as a result of using the lake. It is an unsurveilled lake so usage is at the guest’s own risk;
  • Guests are not allowed to circulate in restricted areas. These areas will be duly indicated as such; 
  • Animals are not allowed inside Being Camp permits; 
  • Any person who is not staying in the accommodation, will not be allowed to enter Being Camp or the accommodation permits; 
  • Cars are not allowed to circulate inside Being Camp, except between the entrance and the respective parking area and always respecting the established circuits, accesses and rules; 
  • It is not allowed to obstruct in any way the paths or emergency exits, nor cross or destroy the existing fences; 
  • Sound amplifying devices or any others that prevent other guests from resting are not allowed, at any time;
  • It is not allowed to make or handle fire in any way; 
  • It is not allowed to smoke inside the tents;
  • It is not allowed to place clothes lines, cables or strings of any material at a height inferior to 2 meters, or wire cables at any height;
  • Guests must use the toilet blocks, sinks, garbage and recycling points and, generally, all facilities, in a way that respects other guests, as well as hygiene, salubrity and civility rules, and also water and energy saving;
  • Guests must respect the privacy and peace of the remaining guests and staff at any time. Being Camp organisation reserves the right to cancel a reservation, effective immediately, if the guests do not honour this commitment, cause disturbance/inconveniences to other guests or staff, breach any rules or refuse to abide by any of the Terms of Use here mentioned and displayed at the reception of the accommodation;
  • The refusal of stay to a person or several people, in the terms of the previous point, may also constitute refusal of future admittance, as long as duly fundamented;
  • All guests must be bearers of any of the following identification documents: ID or Citizen card or Passport, which will be requested for admission in Being Camp as well as registered in a computer system for admission into the accommodation.
  • Being Camp Guests consent to their inclusion in official newsletters or other communication, photographic, visual & audio recordings of the Being Camp as members of the audience.
  • Being Camp organisation reserves the right to cancel the Camp if it doesn't reach the stipulated minimum quantity of reservations. In that event, guests shall be informed within 21 (twenty-one) consecutive days prior to the first day of the guest reservation and the amounts paid by the applicants shall be refunded through the same method used to make the payment within 15 days after the announcement of the cancellation.
Force Majeure
The organisation will not be held liable for the non-fulfillment or faulty fulfillment of the obligations assumed in the relation established with the guests, in the exact measure where they result from the occurrence of extraordinary or unpredictable situations, external to the will of the contracting parties and that cannot be controlled by them,  such as war (declared or undeclared), riots, civil insurrection, natural catastrophes, general nationwide or international strikes, fire, floods, explosions, threats or terrorist acts, epidemics and other situations beyond the Associations control which prevent or hinder the fulfillment of the obligations assumed. 
In case of occurrence of any of the aforementioned situations, the organisation will immediately inform the guest of the impediment and will look for a consensual solution.
